Information we collect
- Contact details you give us, such as your name, company, email address and telephone number.
- Shipment and enquiry details you send through our quote or contact forms, such as origin, destination, a description of your goods, weights, volumes, dates and your message.
- Documents you choose to upload, such as a packing list.
- Technical information, such as your IP address and browser type, which our hosting provider processes to deliver the website securely and to check that form submissions come from a person rather than an automated program.
We do not use analytics, advertising or tracking cookies, and we do not build profiles of visitors.
How we use your information
- To answer your enquiry and prepare a quotation. When you submit a form, your details are emailed to us and a copy is emailed to the address you entered. Our legal basis is taking steps at your request before entering into a contract, or our legitimate interest in responding to business enquiries.
- To arrange and provide the services you ask for, including sharing the necessary details with carriers and partners. Our legal basis is performing our contract with you.
- To keep business and tax records that we are required to keep by law. Our legal basis is compliance with a legal obligation.
- To keep the website and our forms secure and prevent spam and misuse. Our legal basis is our legitimate interest in protecting our website and business.
We will not use your information for marketing without your permission, and we do not sell it.
Who we share it with
- Cloudflare, Inc., which hosts this website, sends our website emails and provides spam protection for our forms.
- Google, which provides the email inbox where we receive enquiries.
- Carriers, freight partners, warehouses and customs agents, only when needed to arrange the services you ask for.
- Professional advisers and authorities, such as our accountants or HMRC, where required by law.
International transfers
Our service providers may process information outside the UK, including in the United States. Where this happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
- Enquiries that do not lead to business are kept for 1 year from our last contact with you, then deleted.
- Customer records, including quotations, orders, shipping documents and invoices, are kept for 6 years from the end of the financial year in which our last transaction with you took place, to meet legal and tax requirements.
How we protect it
Our website uses encrypted connections (HTTPS), and access to enquiries is limited to people at Arvexon who need it to deal with your request.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our use of it;
- ask us to transfer it to you or another organisation in a common format.
To use any of these rights, email enquiries@arvexonglobal.co.uk. We will reply within one month. These rights do not apply in every case, for example where we must keep records by law; if so, we will explain why.
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
